Job description

The Executive Assistant position would be a crucial role with the responsibility of business-related duties reporting directly to the CEO/ Founder of the business. This position will be primarily providing comprehensive assistance to the CEO & the executive team so he may focus on his primary responsibilities and maximize his time and effectiveness.

Key Responsibilities as a Personal Assistant

  • Supporting the CEO & the other executive members to ensure smooth day to day operation
  • Assisting with communications written, telephone, email, and voicemail
  • Assisting with processing payroll and related documentation (Employee expenses etc)
  • Composing and editing letters, documents & proposals and ensuring follow up in a timely manner
  • Arranging travel, accommodation, and transportation
  • Working closely with the office management team to ensure the team is centralized leading with the same business vision
  • Assisting with management and organization of the CEO’s calendar
  • Coordinate meetings (onsite or online)
  • Note-taking during the board meetings and making sure that there is a follow-up
  • Arranging events including co-ordination of lunches, dinners / bigger team events
  • Assisting with administrative duties (CRM Input, filling)
  • Able to pick up new responsibilities from the management team and CEO with the growth of the business

Job requirements

Skills we are looking for

  • Fluent English speaker and native in Dutch or any other language is plus
  • Demonstrable executive, personal assistant experience, likely to be at least 3 years.
  • Experience in working with a fast scale-up business that is growing internationally/globally
  • Degree level education (or equivalent) with a high level of intelligence
  • Excellent organizational & co-ordination skills is a must
  • A tech-savvy person who is able to pick up new tools CRM’s easily
  • Results-focused, finisher completer, who strives to deliver the best outcomes
  • Ambitious, high energy self-starter
  • Outstanding communication skills - verbal and written.
